Cardinal District's Spring 2012 Convention - Registration and Hotel InformationThe Cardinal District's Spring 2012 Convention and Contests will be held March 23 - 24, 2012 at the Holiday Inn Hotel and Conference Center* in Columbus, IN. NOTE: All convention meetings and events, including the chorus and quartet contests, will take place at the convention hotel, located at 2480 Jonathan Moore Pike, Columbus, IN 47201. All contestants must buy an All-Events Registration for the applicable age group. Noncontestants who wish to attend all contest sessions should also purchase All-Events registration/tickets. Registration and ticket prices, and hotel reservation information, are available on this form: Cardinal_District_Registration-Spring_2012.pdf. An "early bird" discount is offered for convention registrations and all-events ticket orders postmarked by March 9, 2012. Call to Contests for Spring 2012 ConventionIt is that time of the year again, when contestants must submit the CJ-20 form to compete in the Spring Convention's Chorus and Quartet Contests which will be held March 23 and 24, 2012 in Columbus, IN. All entries must be in the hands of the District’s C&J Representative, Aaron Dale by February 25, 2012. The competition is open to all Choruses and Quartets. At this convention, the following competitions will be held: • Chorus Plateau competition (AAAA, AAA, AA, A champions will be chosen)

Please forward this information to the attention of your chapter secretary (if you are not the secretary) and to all registered quartets in your chapter. NOTE: If there is a new group that has registered under the Society's Aptify (Ebiz) program, this process may not work, in which case contestants should email Aaron for instructions for manual entry. Or you may e-mail him an attachment of the copy at: aaronkdale@gmail.com New Operations Team appointmentsAfter this weekend's Leadership Academy (COTS) I had the opportunity to speak with David Zimmerman, Theo Hicks, and Kyle Kitzmiller of "Instant Classic" quartet (our current Cardinal District Quartet Champions). I am pleased to announce that I have appointed David Zimmerman as Deputy Director for Youth in Harmony. He will assist Colin Craig in planning and organizing the Harmony Explosion Camp and other activities for high school students. I have appointed Theo Hicks, and Kyle Kitzmiller as Co-Directors for Collegiate Outreach. With these three young men on our Operations Team, I feel very confident that we soon will be increasing the number of ways in which we encourage high school and college students to sing barbershop harmony, and increasing the numbers of such students participating in barbershopping activities. I'm excited about adding these vibrant and energetic young men to our Operations Team. Let's continue to have a great year! - Ron Brumleve, Cardinal District President "Bush League" - quartet coaching and contestsIf you have missed the Bush League Coaching opportunities in the past, here is another chance to take advantage of the Bush League coaching program Saturday, March 3, 2012 from 1:00 pm to 5:00 pm. Additional information will be available soon, but why not get it on your calendar now! There will be two (2) Bush League programs each year for the benefit of all district quartets: a coaching only program in the early spring and the Bush League Coaching & Contest in August. These two programs are just one more step by the district toward the promotion of quarteting by offering craft development and presentation techniques to participating quartets while allowing quartets to tune their skills for their individual performances and/or in preparation for District Convention and Contest. Quartets (registered and non-registered) are invited to participate. The Cardinal District Fall 2011 ConventionThe Cardinal District's Fall 2011 Convention and Contests were held in Columbus, IN, Sept. 30 - Oct. 2 at the Holiday Inn Conference Center. Contest Results and ScoresheetsCongratulations to the Kentucky Vocal Union from Elizabethtown, KY for winning the Cardinal District International Chorus Preliminaries contest. KVU is the District Chorus champion, and they qualified to represent the Cardinal District in July 2012 at the International Chorus Contest in Portland, Oregon. The Summit City Chorus from Fort Wayne, IN won second place and is the Cardinal District Most Improved Chorus award winner. The Valleyaires from South Bend Mishawaka, IN won third place, and the Cavemen from Mammoth Cave, KY won fourth place. The Sounds of Indiana chorus from Bloomington, IN competed for evaluation score only. Here is the official scoring summary from the Chorus contest. Additionally, congratulations to Three Longs and a Short (Ben Geesa, tenor; Larry Hansen, lead; Bruce Wittgren, baritone; and Phil Nagel, bass) who won the Cardinal District Senior Quartet contest. They qualified to represent the Cardinal District in January 2012 at the International Senior Quartet Contest at the Midwinter Convention in Tucson, Arizona. IRS Form 990 filing and reporting is due!Chapter Presidents and Chapter Treasurers: If you haven't yet completed your chapter's Form 990 filing please do this as soon as possible. Each chapter must report to the IRS annually on some version of IRS Form 990 (either a full Form 990, or a 990-EZ, or a 990-N) depending on the chapter's annual gross receipts. (See the Chapter Treasurer's Manual for detailed information). NOTE: After completing the appropriate version of IRS Form 990, your chapter must use EBiz and click the "Financial Filings" link for your chapter to report to the Society the fiscal year and the date the IRS Form 990 was filed. Financial Review and reporting is due!The Society Board of Directors requires that every chapter perform a complete financial review every year. Chapter Presidents and Chapter Treasurers: Please undertake to initiate and complete this required financial review as soon as possible. The Chapter Treasurer's Manual states that you must: "Submit a copy of the chapter financial review and year-end financial statements (Statement of Assets and Liabilities, and either a Balance Sheet or a cash account reconciliation report for chapters using the Cash Basis of accounting) to the Society office."
The Financial Review is typically done by a committee appointed by the Chapter President. Preferably, chapter officers or board members for the year in review should not be a part of the financial review committee. The chapter does not need an independent auditor to do this report. A past treasurer or anyone with accounting experience may prepare the report. See the Exhibit in the Treasurer's manual for the financial review form, which is also available as a PDF file here and as an Excel document here. NOTE: After completing and sending in the Financial Review form, your chapter must use EBiz and click the "Financial Filings" link for your chapter to report to the Society the fiscal year and the date the financial review was completed and submitted to the Society. Having a Chapter Show? Have you gotten your show approval?Is your chapter planning a show for which you will charge a ticket price? If so, your chapter needs to obtain a "Show Approval" from the Cardinal District Secretary (who is currently Kurt Vogel, email: vogel-family@sbcglobal.net) before you advertise or sell tickets. To obtain a Show Approval from the Cardinal District Secretary, your Chapter President, Chapter Secretary, Chapter Treasurer, or Show Committee Chairman needs complete and submit this APPLICATION FOR SHOW CLEARANCE BMI AND SESAC LICENSE form, which is also available from the Society's web site at http://www.barbershop.org/document-center/category/71-show-clearance-and-legal-ascap-etc.html, and also at http://www.barbershop.org/news-and-events/upcoming-concerts/add-performance-to-calendar.html (Click on the the "SESAC Form" link on the right hand side of the web page). Please note that the SESAC form must be accompanied by a check payable to SPEBSQSA, Inc. which represents your chapter's fees for the BMI License and for the SESAC License. (See the rate schedule on the form to determine the amount of the fees to be paid. Here is an example: Suppose you do one show at a venue with a seating capacity of 800, and your ticket price is $12.00. According to the schedule, you would need to submit a payment of $28. If you did your show in a venue that seats 1,600 people, your BMI/SESAC payment would be $38). Once your SESAC fee payment has been received and your SESAC form has been signed by the District Secretary, your show is considered to be approved. After your show has received a Show Approval, your show will be listed among the Approved Chapter Shows on the Cardinal District web site at http://www.cardinaldistrict.org/chapter_shows.htm. After your annual show (or at the end of the year after your final show, for example if you do a spring show and a fall/winter show) you will also need to fill out and submit the ASCAP form and pay the ASCAP fee, again by a check made payable to the Barbershop Harmony Society. (You will most likely only need to fill out SECTION A of the form, and mail it with a check to BHS for the minimum ASCAP licensing fee amount of $222.00). Please note that you need to complete a SESAC form before each chapter show for which you charge a ticket price, but you only need to make one ASCAP payment per year. Quartet RegistrationIs your quartet registered? Have you renewed your quartet registration? The Society's Information Manual for Barbershop Quartets states that each Society quartet must maintain registration with the Society headquarters. This means that not only must a quartet register when it is first created, but also that each quartet must renew its registration on an annual basis. The annual quartet registration fee is $40.00. The Cardinal District is happy to announce that we too now have a subscription to "Constant Contact" through which we have created Cardinal Notes, a monthly email newsflash that will be sent out to all barbershoppers in the Cardinal District for whom we have an email address. Ron Brumleve, the Cardinal District EVP, created Cardinal Notes as a supplement to the INKY Notes bulletin. We plan to use the Cardinal Notes to to share with you information and links from the Society, the Cardinal District Board of Directors, and the Operations Team, and to keep in contact with Chapter Presidents and other chapter officers. You and your Chapter Secretary can help us by logging in to the Society's EBiz service (just click on the "Members Login" link on the Society's web site) to make sure that your chapter's roster shows your correct current email address. Cardinal District Web Site - Updates and RedesignDid you know that the Cardinal District web site is in the process of being updated and redesigned? It's true! In addition to keeping this home page updated, we have recently updated several of the pages of the existing web site. We would also like to update the information shown on the listing of Chapters and on the Quartets page, so please review the information shown on those pages and let our District Executive Vice-President, Ron Brumleve know of any changes, deletions, or additions to be made.
